A well-established financial services firm in Guernsey is seeking a dedicated Office Manager to manage critical functions, with a primary focus on IT infrastructure and Facilities Coordination. This pivotal role ensures smooth daily operations, supporting staff and directors alike. The position is full-time, 35 hours per week, Monday to Friday, requiring availability during working hours to support staff queries. Role Purpose: To oversee and coordinate all aspects of IT infrastructure and office premises management, acting as the central point of contact for related queries. This role also supports strategic initiatives like office relocation planning. Key Responsibilities: • IT Infrastructure Management: o Liaise with and manage IT service providers. o Oversee IT projects and address technical issues. o Ensure regular communication and project updates with service providers. o Maintain awareness of broader IT initiatives across the firm. • Premises Management: o Coordinate office maintenance, liaising with the landlord and service providers. o Manage car parks, phone systems, and office utilities. o Ensure the smooth supply of office essentials. o Lead the firm’s office relocation project by identifying and vetting new premises, organizing logistics, and coordinating the move. • Insurance Administration: o Manage all company insurance policies, including health, directors’ liability, and death-in-service coverage. o Support new joiners with insurance paperwork. The successful candidate will have: • Proven experience in IT and office management. • Strong organizational and multitasking skills. • Excellent communication abilities to liaise with staff and service providers effectively. • A proactive approach to problem-solving and project management.
