Office Administration, Secretarial Our client is seeking an Executive Support Administrator based in Guernsey on a full-time basis, with contracted hours of 37.5 per week. This role presents an exciting opportunity to join a growing team that is dedicated to supporting business priorities for Partners and Directors across the Channel Islands. The successful candidate will become an integral part of the Executive Support team, where they will provide vital support to stakeholders and develop their personal and technical skills. This position is ideal for an individual looking to begin their career in a dynamic environment, and who is willing to engage with a variety of stakeholders. The role requires a strong focus on self-management and personal responsibility, alongside excellent organisational skills to handle a busy workload effectively. Job Duties:

Provide transactional support for organising client and internal meetings and managing calendar invites. Research and book travel requests, including preparation of itineraries for complex travel (e.g., visas, accommodation, flights). Manage stakeholder meetings, including preparation of briefing notes and post-meeting follow-up actions. Prepare, format, and ensure adherence of documents to brand guidelines. Maintain the firm's Client Records Management system as required. Manage the room booking system, resolving any conflicts. Draft and monitor stakeholder mailboxes, engaging with relevant parties for decision-making. Ensure timely and accurate completion of timesheets for self and assigned Engagement Leaders. Facilitate compliance training for Engagement Leaders, ensuring adequate time is allocated in their schedules. Coordinate events, training, and logistics for internal and external meetings. Assist with general office queries, including photocopying and binding. Support stakeholders with managing social media accounts and other marketing initiatives as needed. Collaborate with Senior Managers and provide additional support during busy periods.

Job Requirements:

Must hold a Permanent Resident or Family Member Resident Permit as a work permit cannot be provided. Experience with Microsoft Suite (Mail, Sheets, Docs, and Slides) is desirable; willingness to learn is essential. Strong attention to detail and accuracy. An enthusiastic, positive attitude with a drive for self-development. Proactive and flexible approach to managing workloads to meet deadlines. Strong interpersonal skills to build and maintain trusted relationships. Team player who collaborates effectively and shares knowledge. High levels of customer service and professionalism, demonstrating discretion and confidentiality. Curiosity towards emerging technologies and adaptability to new working methods.
