Our client is seeking a Governance & Executive Support Administrator to provide high-quality administrative and coordination support to the Executive Team and Board. This role ensures the smooth operation of executive and board activities, promoting effective decision-making. The position requires exceptional attention to detail, strong organisational skills, and discretion, with the ability to manage multiple priorities in a fast-paced environment. The role is a full-time position, with a contract expected to be 37 hours per week, from Monday to Friday. Job Duties Manage diaries, schedule meetings, and coordinate travel arrangements for the Executive Team. Prepare agendas and support with the drafting of meeting papers and presentations for internal and external meetings as required. Organise and support executive events, including board strategy days and executive team offsite sessions. Schedule and coordinate Board and Committee meetings, including logistics and diary management. Assist with the preparation and distribution of Board packs and meeting materials. Track and follow up on actions arising from meetings to ensure timely completion. Support accurate record-keeping and documentation for governance processes. Maintain key registers and assist with routine compliance submissions. Provide administrative assistance for risk and data protection activities (training provided). Maintain accurate records and document management aligned with internal policies. Assist with the preparation of reports, papers, presentations, and business documents as required. Liaise with internal teams and external stakeholders to facilitate smooth communication and collaboration. Support small projects or initiatives as directed by the Chief Governance and Risk Officer. Contribute to process improvements across executive and governance functions. Build effective working relationships across teams and with external stakeholders. Handle sensitive information with discretion and always maintain confidentiality. Oversee office management operations, including stationery, refreshments, and general office standards. Perform any other reasonable duties assigned by management. Job Requirements Experience in an Executive Assistant or senior administrative role (3 to 5 years). Strong organisational and time management skills. Excellent written and verbal communication. High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). High attention to detail and accuracy. Discreet and trustworthy, with the ability to handle confidential information with integrity and discretion. Strong interpersonal skills and a collaborative approach. Understanding and alignment with the values of our client, demonstrating an ethos suitable for the challenges encountered by the organisation. Entitled to work residential status. Familiarity with project coordination or business reporting. Interest or experience in governance principles, regulatory compliance, or risk management is desirable but not essential.
