This role is responsible for Corporate Governance of the TCS group of businesses and all subsidiaries, providing high quality EA, PA, secretarial and administrative support to the Group MD. Delivering high quality secretarial and administrative support to the TCS businesses in Jersey, Guernsey and Cayman, working alongside Collas Crill Group Business Services teams to ensure TCS requirements are met.
EA, PA and administrative support to the Group Managing Director of TCS.
Responsible for all meeting support, to include:-
Scheduling all meetings in accordance with the relevant internal and / or external requirements and circulating invites;
Drafting agendas;
Preparing board papers where requested;
Preparation and timely circulation of board packs, and;
Monitoring of actions arising within meetings and following up to ensure completion within deadlines.
Quarterly due diligence record keeping for all TCS directors and TCS Group entities.
Assisting the Group MD with regulatory requirements of the TCS Group where appropriate.
Supporting with Business Development activity for the TCS group including the preparation of pitch documents and presentations and supporting with compilation of fee proposals.
Supporting with compilation of due diligence packs for TCS group entities.
Working with the wider Collas Crill Group Business Services teams to ensure TCS requirements are met (IT, BD, Facilities, Knowledge Management etc).
Responsibility for adherence to the TCS Group travel policy, maintenance of the Travel Management portal for TCS, approving travel requests in line with the policy and the management of the travel budgets.
Arranging meetings and appointments, managing diaries and inbox where appropriate for the Group MD and other Directors as appropriate.
Preparing correspondence, documents, presentations and file notes.
Processing and tracking expenses for the Group MD, MD of CCT Guernsey and other Directors as appropriate.
Arranging business trips and travel for the Group MD, MD of CCT Guernsey and other Directors as appropriate.
Support with internal and BD events and all associated travel.
Book, prepare and clear meeting rooms, set up IT, video and audio conferencing as necessary.
Ensure confidentiality of the firm's documentation and information.
Executive Assistant / Personal Assistant training is desirable
Company Secretarial and corporate governance background is desirable
A minimum of 5 years' experience in an EA or PA role, preferably in a trust company or law firm
Experience of supporting high level management (e.g. Managing Director or Managing Partner)
