Our client is seeking a Workplace Operations Administrator to join their Workplace Operations Team within the Operations Pillar. This exciting role is based in Jersey, with contracted hours of 37.5 per week. The Workplace Operations Administrator will directly contribute to enhancing the client and visitor experience within the firm’s building environment. Responsibilities include supporting local on-site operational teams to maintain a safe and functional workplace while also ensuring that administrative tasks are carried out efficiently and accurately. The ideal candidate will possess strong interpersonal skills to effectively build relationships at all levels. Flexibility may be required to provide support outside of standard hours when necessary. Job Duties Act as the first point of contact for clients and visitors, offering a courteous welcome upon arrival. Maintain supplier interactions and keep updated records of third-party suppliers. Ensure compliance with relevant Health and Safety legislation and address any issues promptly. Provide exceptional service to both visitors and staff, managing requests effectively. Conduct room status checks to ensure the functionality of technology and facilities. Proactively coordinate and monitor meeting room bookings to maximise utilisation. Maintain appropriate levels of office and kitchen supplies. Oversee the timely distribution of mail and deliveries, archiving documents as needed. Assist finance by maintaining transport spreadsheets and reconciling invoices. Ensure accurate completion of timesheets and adhere to firm policies. Support colleagues on a transactional basis across the firm. Collaborate with the wider Workplace Operations team to maintain office appearance. Contribute to office maintenance and coordinate with contractors for repairs. Assist with general office queries, including printing and IT support. Stay security-conscious while performing duties, ensuring compliance with visitor protocols. Address miscellaneous support requests and be open to flexible working hours. Job Requirements Must hold the right to live and work in Jersey. Familiarity with desktop applications, particularly the Microsoft Suite, is desirable. Strong interpersonal skills with the ability to build and maintain relationships. Act as a collaborative team player, providing seamless service to stakeholders. Enthusiastic and positive attitude with a willingness to pursue ongoing self-development. Excellent communication and organisational abilities. Flexible and proactive approach to workload management, with excellent attention to detail. Prior customer service experience is preferred, along with knowledge of Health and Safety legislation. Ability to apply basic IT skills and familiarity with workstation setups is advantageous.
