Our latest opportunity is for an Associate Director to join our Fund Administration department and become part of our growing team

You will be responsible for managing and developing a team of administrators to deliver expert fund administration services to a growing portfolio of fund clients. Your role will focus on managing, maintaining, and developing client relationships, while ensuring the consistent delivery of Ogier’s high standards.

  • Manage the administration service delivery requirements of a growing fund administration portfolio, working closely with the Jersey Head of Fund Administration and wider team
  • Act as a higher authority on day-to-day administration queries and as an “A level” 4-eyes signatory on administration matters, ensuring company policy and professional and regulatory guidelines are adhered to and that a professional quality service is provided to clients and outside contacts
  • Lead, motivate and mentor a team of fund administrators/administration professionals; act as a mentor and line manager and support training and development of staff
  • Act as first point of contact for a limited number of fund structures within the team and build and maintain strong relationships with clients, ensuring high levels of satisfaction and retention
  • Attend client board meetings and present administration updates, where applicable
  • Oversee daily operations of fund administration including workload management, investor correspondence and relevant regulatory and compliance reporting, ensuring processes are efficient, compliant and aligned with best practice
  • Develop, implement and monitor a robust control framework, policies and procedures for administration service provision, working seamlessly with other service lines as required
  • Developing and maintaining operational procedures manuals and ISAE checklist/templates for client relationships and regulatory reporting, including AEOI reporting, annual returns/confirmation filings and statistics reporting
  • Support delivery of client financial reporting and audit timetables by coordinating inputs and liaising with the fund accounting team and auditors as required; assist in leading the audit process within the team and build strong relationships with audit firms
  • Support onboarding of new fund mandates and contribute to ensuring a smooth transition into the Ogier service model
  • Review and interpret complex transactions and structures to support board decisions and provide technical guidance to the team
  • Acting as a director of various client companies with a particular focus on fund administration, where applicable
  • Attend meetings either locally or in London/UK to meet with clients and intermediaries
  • Active involvement in new business enquiries and business development activities alongside the business development team
  • Ensure the highest standards of client service is maintained by the team as a whole, ensuring adherence to all policies and procedures
  • Support an “Ogier Best Way” ethos across the team through rigorous process analysis to drive alignment and consistency; reinforce the Group Vision and use of lean management/continuous improvement tools to support sustainable, incremental business improvements
  • Support the identification and implementation of technology to underpin delivery of the Ogier standard of client service including the core system and utilising existing technology such as client portals, automated documentation and e-signatures
  • Become a super-user of the closed-ended fund administration system (Investran), maximising use and adoption of the system and associated portal to exceed client expectations, maximise staff efficiency and assist in risk management
  • Define and lead clear operational service standards through data-led SLAs and KPIs
  • Contribute towards the business as a whole in identifying process improvements, improvements in policies and procedures and any other service innovation changes that would improve the client experience
  • Ensure that internal anti-money laundering and counter-terrorist financing procedures and policies are complied with and be familiar with those written policies and procedures; ensure relevant jurisdictional AML/CFT regulations are complied with to the extent required by the role, especially in respect of reporting suspicious activity or transactions, client due diligence and record keeping

We are keen to hear from experienced professionals with a strong background in the Jersey funds industry, who have in-depth knowledge of Jersey-domiciled fund structures (including JPFs and closed-ended structures) and Manager of a Managed Entity (MoME) relationships, as well as:

  • Hands-on experience in managing fund administration engagements and providing expert oversight on complex administration matters
  • Demonstrable ability to own the administrative requirements of complex funds and manage demanding client relationships; committed and driven to achieving excellence for clients and teams
  • Excellent management and influencing skills; a role model and team player with strong attention to detail
  • Strong understanding of client administration requirements and solid analytical/problem-solving skills to understand and resolve complex problems
  • Systems proficiency with leading fund administration systems (e.g. Investran) and strong Microsoft Office skills (Excel, Word and PowerPoint)
  • Relevant professional qualification preferred (e.g. CGI or ACCA/ACA equivalent)
  • Excellent written and verbal communication skills and ability to maintain strong internal and external stakeholder communications on status, issues and expectations
